Information from our Customers (Business Owners)

When you sign up for and use ServiceEdge, we collect:

  • Account information: Your name, email address, phone number, and business name.
  • Business details: Your business hours, timezone, services offered, and any other information you provide during onboarding or through the dashboard settings.
  • Payment information: Billing details necessary to process your subscription. Payments are processed by Stripe; we do not store your full credit card number.
  • Usage data: How you interact with the dashboard, including login activity and feature usage.

Information from your Callers (End Users)

When someone calls your ServiceEdge phone number, our AI receptionist may collect:

  • Caller phone number: Automatically captured via caller ID.
  • Caller name: As provided by the caller during the conversation.
  • Call details: The reason for the call, service needed, and any other information the caller shares with the AI receptionist.
  • Call audio and transcripts: The conversation between the caller and the AI receptionist is transcribed and stored as a text transcript. Call audio may be processed in real time but is not permanently stored by ServiceEdge.
  • Call metadata: Date, time, duration, and call status (e.g., after-hours, missed, forwarded).

3. How We Use Information

We use the information we collect to:

  • Deliver the Service: Operate the AI receptionist, forward calls, capture leads, send SMS summaries, and display call data in your dashboard.
  • Improve the Service: Analyze usage patterns and call handling quality to improve the AI receptionist's performance and the overall platform.
  • Communicate with you: Send you invoices, account notifications, service updates, and respond to support requests.
  • Ensure security: Detect and prevent fraud, abuse, or unauthorized access.

We do not sell personal information to third parties. We do not use caller information for marketing purposes.

We share personal information only in the following circumstances:

With Third-Party Service Providers

We use trusted third-party providers to deliver the Service. These providers process personal information on our behalf and are contractually obligated to protect it:

  • Twilio (San Francisco, USA) — Telephony, call routing, SMS delivery, and AI voice processing. Twilio processes call audio and caller phone numbers in real time.
  • OpenAI (San Francisco, USA) — Conversational AI processing. Call transcripts are sent to OpenAI to generate AI responses and lead summaries.
  • Supabase (San Francisco, USA) — Database hosting and authentication. Customer and caller data is stored in Supabase.
  • Vercel (San Francisco, USA) — Application hosting.
  • Stripe (San Francisco, USA) — Payment processing.

With our Customers

Caller information (name, phone number, reason for call, transcript) is shared with the business owner whose phone number was called. This is the core function of the Service.

As Required by Law

We may disclose personal information if required to do so by law, regulation, legal process, or enforceable governmental request.

5. Data Storage and Transfer

  • Personal information is stored on servers operated by our third-party providers, primarily located in the United States.
  • If you are located in Canada, you acknowledge that your data and your callers' data may be transferred to and processed in the United States.
  • We take reasonable measures to ensure that our third-party providers maintain appropriate security safeguards.

6. Data Retention

  • Customer account data: Retained for the duration of your subscription and for up to 12 months after cancellation, after which it is deleted.
  • Call transcripts and lead data: Retained for the duration of your subscription. Upon cancellation, call and lead data is deleted within 90 days.
  • Payment records: Retained as required by applicable tax and accounting laws.

7. Data Security

We implement reasonable technical and organizational measures to protect personal information, including:

  • Encryption of data in transit (TLS/HTTPS).
  • Row-level security on our database to ensure customers can only access their own data.
  • Authentication and access controls on the dashboard.
  • Secure handling of API keys and credentials (server-side only, never exposed to browsers).

No method of transmission or storage is 100% secure. While we strive to protect personal information, we cannot guarantee absolute security.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

For Canadian Residents (PIPEDA)

  • Access: You may request access to the personal information we hold about you.
  • Correction: You may request correction of inaccurate or incomplete personal information.

10. Children's Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will take steps to delete it promptly.
